JOB SUMMARY:
The Warehouse Manager will be responsible for the effective management of the Warehouse in Dodoma, ensuring the Warehouse Management System is developed and executed consistently. The Warehouse Manager will oversee the receipt, storage, and dispatch of commodities in the warehouse ensuring that all items are accounted for and ensure that warehouse is well maintained and meets, donor, organizational, safety and health standards. The Warehouse Manager will also be expected to coordinate the transportation of commodities in and out of the warehouse.
PRIMARY JOB RESPONSIBILITIES:
Warehouse and Commodity Management
- Overall Management of warehouse operation and adhering Generally Accepted Commodity Accountability Principles (GACAP) throughout the day-to-day management practices
- Ensure high standards of cleanliness and maintenance of warehouse, organize for thorough cleaning at least once a week, and fumigation is organized and conducted as and when required.
- Ensure proper counting of all commodities received and ensure trucks are inspected on arrival and commodities are counted at all necessary stages – on the truck, during offloading and at the stack, making notations in the source documents if any shortages, damages, or excess with damaged/unfit commodities handled as per the good warehousing practices.
- Ensure proper commodity storage: torn bags/leaking tins/cans must be segregated and reconstituted, repacked immediately before the waybill is signed acknowledging the receipt.
- Ensure that commodities entering or leaving the warehouse have the necessary documentation and approvals.
- Strictly enforce the FIFO practice and adherence by all staff under supervision, except in the case of reconstituted commodities.
- Periodically arrange for fumigation as per advice from experts and when needed.
- Equip the warehouse first aid, safety, and fire equipment as per standard.
- Check and confirm the accuracy of all warehouse documents daily.
- Receive and issue food from the warehouse as per approved distribution plan.
- Inspect and control insect and rodent infestations.
- Ensure that food is stacked properly, and movement recorded on stack cards, warehouse ledger and master ledgers, inventory register.
- Ensure that damaged food is properly segregated and promptly repacked and recorded.
- Prepare logistics plan following approved distribution plan and support Coordination with transporter to ensure that Commodities are loaded on time to ensure that reach on time planned in collaboration with Commodities and logistics Manager.

Warehouse Operations & Security:
- Supervise and support Warehouse Officers on daily-to-daily activities.
- Supervise warehouse security guards, ensure that security guards are following prescribed procedures and maintaining a high level of compliance and alertness, including periodic random checks.
- Authorize the entry of all persons onto the warehouse property including GC staff and maintain a high level of security at the warehouse.
- Oversea casual laborers including stevedores, cleaners, etc. and always ensure order and compliance with prescribed procedures for all persons on the warehouse property.
- Supervise vendors who are working on the warehouse property including fumigation vendor,
- Always ensure smooth operations at the warehouse for safety and security.
- Report immediately in case of any problem that may occur relating to warehouse operations.
- Making sure that all system required for warehouse operation are installed.
Warehouse Documentation:
- Ensure accurate, complete, and organized/filed documentation for all receipts and exits of commodities from the warehouse.
- Ensure availability of all warehouse Documents and forms, therefore, archive all accounting materials following appropriate order.
- Maintain stack cards for every stack, inventory register for every shipment.
- Submit Monthly Warehouse Reports for SLT review.
Communication & Reporting:
- Prepare Warehouse Operations monthly progress reports and work plans.
- Preparation of reporting backups for Digitization process of the data
- Prepare Monthly CSR, crosscheck it, submit to Senior manager Commodities Management for verification,
- Prepare any other required weekly and monthly reports.
EDUCATION AND EXPERIENCE

JOB SUMMARY:
The Commodities Officer – Data Analyst will support the smooth running of day-to-day operations of the warehouse and is responsible for the management of the warehouse management information system that tracks the movement of commodities in and out of the Dodoma warehouse. The CODA will also provide Technical Advice to program schools to help improve commodity management practices, focusing on use of the digital data system. The CODA will collaborate closely with the School Support Officers to provide coaching for schools to improve commodity management knowledge and practices.
PRIMARY JOB RESPONSIBILITIES:

JOB SUMMARY:
The Finance and Admin Officer (FAO) is responsible for executing the Finance and Administrative functions in the Mara offices, maintaining compliance with Global Communities and USDA regulations, procedures, and policies. The FAO, based in Mara, will facilitate payments for the Mara operations, manage assets and equipment, organize travel to and from Mara, prepare reports and organize the logistics for events and trainings.
PRIMARY JOB RESPONSIBILITIES:
Financial Management:
- Oversee payment procedures at regional office through review of payment requests (petty cash, checks & wire) for timely & organized processing, accuracy of transaction documentation, appropriate application of account & cost center codes.
- Review oversee accounting & recording of MARA financial transactions into QuickBooks system.
- Effectively ensure the accuracy of transaction documents, and appropriate account & cost center codes.

PRIMARY JOB RESPONSIBILITIES:
FACILITATE PAYMENTS
- Ensure thorough review of invoices and other requests for compliance issues prior to processing payments.

JOB SUMMARY:
The Administration Officer is responsible for organizing and coordinating the office operations and communications systems to ensure the most efficient and effective working environment for Dodoma Office staff. The Admin Officer will provide timely and accurate support on key office management functions, management of the store, processing travel logistics, assisting with meeting and training preparation and managing external communication.
PRIMARY JOB RESPONSIBILITIES:
Office Administration
- Managing the receipt function of the Dodoma office i.e., receive & assist visitors, phones, deliveries, general mail services, deliveries, records management, etc.
- Management office consumables and supplies for the Dodoma office.
- Ensure all utility services in the offices are available (water, utility, internet, electricity, etc.)
- Oversee the maintenance, repair, and cleanliness of the office and premises, ensuring that any needed maintenance is dealt with immediately.

WASH Engineer | Dodoma |
JOB SUMMARY
The Water, Sanitation and Hygiene (WASH) Engineer is responsible for designing, implementing, monitoring, mentoring, and reporting on infrastructure investment projects at schools. These school infrastructure projects include latrines, potable water supply systems, handwashing stations, classrooms, libraries and kitchens. The WASH Engineer is responsible for training the schools and communities to co-design, contribute to and maintain these infrastructure investments.
PRIMARY JOB RESPONSIBILITIES Provide Technical Support:
- In collaboration with the project team, design an effective model/ strategy to implement cost-effective water, sanitation, and hygiene activities in program schools to achieve program objectives.
- Lead the preparation of school-based designs, drawings, BOQ/Cost Estimates and Tender documents for all Pamoja Tuwalishe DESIGN infrastructures.
- Ensuring the training of school and community handlers in technical areas including water quality testing and building and maintaining quality water point structures.
- Conduct trainings regarding operation and maintenance of water supply and sanitation facilities for beneficiaries and Water management committees for the established structures.
- Extend all possible technical support to other team members and contractors when and where required.
- Undertake regular field visits and provide technical assistance to LGA engineers, schools and community members involved in planning, designing, implementation, monitoring, and maintenance of the program structures.
- Verification of the appropriate standard and quantity of materials to be used in water and sanitation interventions.
- Ensuring construction of projects in accordance with approved designs.

Coordination:

- Preparation of weekly work plan for WASH interventions and sharing with line manager
- Ensure that infrastructure construction and rehabilitation works are carried out according to BOQs, drawings, quality standards established by the organization through quality checklists and other tools.
- Preparation of weekly, monthly, and field visit reports and sharing with line manager on timely manner.
- Ensure the Contractors are compliant with Statutory Law and the organization policy, safety and security protocols/guideline on all Pamoja Tuwalishe WASH constructions.
- Preparation of feasibility studies/ reports, borehole pumping tests analysis & reporting and completion certificates; verify the work done at site and recommend for the payments to contractors.

- Optimize co-funding partnerships: Schools – Communities – Private Sector – LGA – Pamoja Tuwalishe.
- Design replicable program models (ie latrines, water supply, kitchens) for future infrastructure investment projects
KNOWLEDGE, SKILLS, AND ABILITIES
- In-depth knowledge on potable water supply options
- Competent using Civil Engineering Design Software
- Excellent computer skills, including MS Suite of Applications
- Clear attention to details, maintaining a high degree of accuracy.
- Ability to coordinate with local government, schools, communities, and private sector.
- Excellent Verbal and written communication Skills in English and Kiswahili.
- Excellent representative of the program, including high level of integrity and professionalism.
EDUCATION & EXPERIENCE
- Master’s degree in civil or Structural Engineering, Architecture or any relevant disciplines
- Must have experience in developing Potable Water Supply systems, relating to the technical specialties of Sanitary and Environmental Engineering
- Proven Experience training groups to manage the revenue, maintenance and repair of the structures built.
- Experience developing guidelines, manuals, and tools.
- Minimum of 6 years of practical experience working on school or community level water supply projects.
