A non-governmental organization, the German Leprosy and TB Relief Association (GLRA/DAHW, Deutsche Lepra- und Tuberkulosehilfe) has its headquarters in [Location] and its East Africa Region in Ethiopia. The group uses creative approaches to research, inclusiveness, humanitarian relief, and health challenges, particularly those related to leprosy, TB, and neglected tropical diseases (NTDs). For the DAHW/GLRA-Tanzania program office, DAHW/GLRA Tanzania is now seeking an Office Administrator with a strong sense of motivation and experience. Beginning in 1959 with the assistance of leprosy patients, DAHW/GLRA-Tanzania has a lengthy history. Today, working with the Ministry of Health, BMZ, EKFS, Novartis, and others, it is a recognized authority in its primary areas: leprosy, TB, NTDs, and addressing the medical and social ramifications of these diseases.

Purpose of the Job
All office operations must run smoothly and effectively, and this is the office administratorās responsibility. In order to keep the office organized, manage office supplies, and help with daily operations, they will do administrative, clerical, and supportive duties. In order to maximize efficiency and productivity, the Office Administrator supports several departments and acts as a single point of contact for office needs.
Main Responsibilities
- Oversee all office filings, including personnel files and records, office administration, cars, and meeting files.
- Manage petty cash and make sure that it is handled smoothly and according to best practices.
- Maintain stringent confidentiality when handling sensitive documents.
- Plan and record the minutes of staff and office management meetings.
- Create and disseminate agendas, minutes, and follow-ups for meetings.
- Help with the necessary preparation of paperwork, reports, and presentations.
- Make sure that personnel attendance is monitored and controlled.
- Arrange for guests and visitors to arrive, and make sure the visiting register is signed.
- Verify that all reporting and compliance requirements are fulfilled.
- Organize and maintain inventory, equipment, and office supplies.
- Supervise the workplace spaceās upkeep and cleanliness.
- Organize office supplies, equipment, and services in coordination with suppliers and service providers.
Property Management
- Ensure the proper management of all procurement, receiving, issuing of the GLRA Tanzania office.
- Oversee all procurement activities based on the DAHW and local handbook.
- Follow the necessary contract and framework agreements for goods/service suppliers.
- Ensure that assets are well managed and placed in the Asset Management System.
- Properly record and update the asset register and ensure appropriate coding and tags are placed on each item.
- Manage the vehicle movement of the office.
- Participate in the disposal of old material.

Required Qualification and Experience
- A bachelorās degree in management or business administration.
- Outstanding communication skills, both in writing and speaking.
- Proficiency with Word, Excel, PowerPoint, and Outlook from the Microsoft Office Suite.
- Basic familiarity with office technology and equipment, such as phones and printers.
- The capacity to function both alone and together.
- Strong problem-solving and attention to detail abilities.
- Demonstrated capacity to meet company objectives.
- It helps to have prior experience working for national and/or international non-governmental organizations.
- A customer-focused mindset and a professional manner.
- Confidentiality and discretion when handling sensitive data.
- An extra benefit is having a basic understanding of several accounting software programs and packages, such Winpaccs.
